Frequently Asked Questions

Daily Classroom Tasks

How do I take attendance?

Select “Attendance” from the left sidebar. Take attendance for the class period by marking students who are tardy, absent, or leave early. Students who are marked absent will be grayed out on the dashboard for a quick visual of who is in class and who is not. Prior dates of attendance can be adjusted by clicking the calendar icon at the top of the attendance page. Attendance reports can be run in the “Reports” section.

How do I set my standards for the class period?

Standards are set by day, per class period. Simply select the “Standards” button on the left sidebar. Then, select the standards you will be teaching that day in class. Once the standards have been selected, they will be pre-filled whenever a teacher selects a student’s name from the main dashboard and selects to monitor “Progress.” From here, teachers can assess where a student is on the learning scale in relation to each standard they are teaching. Standard reports can be found under the “Reports” icon on the main dashboard.

How do I customize my Accommodations?

A list of commonly use accommodations has been pre-filled in the accommodations window. However, you can add additional accommodations that are used in your state, county, or classroom. You do this from the Settings menu. Select “Settings” from your teacher dashboard.  Then, select “Accommodations.”  Once you have created the custom accommodation, it will appear in all of your accommodation boxes. Custom accommodations will appear in your accommodations reports.

For more information, watch the video tutorial below.

How do I add a Behavior?

A list of commonly used positive and negative behaviors is pre-filled in the behavior menu for quick access. However, a teacher can add their own custom behaviors, as well. To do this, go to the “Settings” menu on your teacher dashboard.  From here, select “Behaviors.”

From here, you can click the icon to change the image and input a name for the behavior. Use the thumbs up or thumbs down to assign the behavior as a positive or negative or assign as a consequence.

Now, anytime you access your behaviors, this new custom behavior will appear for all students. Custom behaviors will also appear in the behavior reports.

For more information on custom behaviors, watch the video tutorial below.

How do I use Groups in my classroom?

The grouping feature has endless possibilities for usage in a classroom. Use groups for assigned seating at tables, for group projects, or for intervention groups. Or, use groupings for tracking student progress by creating low performing, grade-level performing, and higher performing students. For more ideas on how to use groupings effectively, check out this post on the ClassMax blog.

Are you a teacher in a Marzano school district? The grouping feature satisfies Elements 7, 15, and 21.

What does the Whole Class button do?

Use the whole class button to save time in the classroom by assigning progress, behavior, and accommodations usage to the entire class, instead of one student at a time. Is your whole class rocking your standard that day in class? Use the whole class button! Is your whole class following directions well? Use the whole class button! Are you using an accommodation with the entire class, such as a graphic organizer? Use the whole class button!  Save yourself some time so that you can keep a rigorous, engaging instructional pace while you track at the same time.

How do I assign a Hall Pass?

Track who is out of your classroom, where they’ve gone, and how long they’ve been out using the Hall Pass. Select the student who is leaving the room.
Select “Hall Pass” from the student menu. Select the location where they are going and start the timer. While the student is out of the room, their initials will appear in an icon at the top of your class period dashboard. You can continue using ClassMax while the timer runs in the background. When the student comes back to class, simply select the icon with their initials at the top of your dashboard and stop the timer.Their time out of class is saved in the hall pass report and can be accessed in the “Reports” page.

Notes taken on the “Progress” screen that are related directly to standards performance can be accessed in a standards report from the “Reports” menu. General notes that are taken from the student profile can be found in the notes report from the “Reports” menu.

How do I access reports for my data?

All reports can be accessed through the “Reports” icon on the dashboard. Simply select “Reporting.” From here, select whether you want a whole class report or an individual student report. Select the appropriate box, depending on your report preference. From the next screen, you can select to run a report on accommodations, behavior, progress, hall passes,
or general notes. You can also select the date or date range for your report and the method of reporting the data (email, PDF,
or print).

Student Information

How do I add a student?

There are two ways to add students to your class periods. You can add students manually by selecting “Add Student” from the dashboard. You can add a whole class period at one time by uploading the CVS template that is filled in with your student information.

For more information on how to bulk upload students using a CVS file, see the video tutorial below.

Do I have to add my students one at a time?

Not at all, we have created the ability for you to upload your list of students using a CSV file. We will provide this file to you after you have your ClassMax account all setup!

For information on how to bulk upload students, watch this video tutorial:

How do you delete a student or change them to another class?

To delete a student, select their student icon from the class period dashboard. Select “Student Information” and then select the red trashcan icon.  To transfer a student to another class period, go to their student profile.  Under the apple icon, there is a dropdown menu to select a class period.  If a student changes class periods, their data goes with them.

What are student categories and how do they work?

Student categories are located in the student profile, accessible from the class period dashboard.  These are general education categories that a student might fall into and are noted in the profile so that the teacher can access individual information about a student in one place, at one simple click.  There are several common categories listed, but a teacher can add a category as needed.

  • ESE – Exceptional Student Education
  • ELL – English Language Learner
  • SLD – Specific Learning Disability
  • EBD – Emotional Behavior Disorder
  • FRL – Free or Reduced Lunch
  • SPEECH – Speech impaired
  • HEARING – Hearing impaired
  • MEDICAL – Medical limitation
  • 504 – Federal requirements for student learning
  • GIFTED – Received gifted services
How do I use the apple icons?

The ability to change the color of the apple icons is a feature that has countless uses. One way to use the apple colors is to color code student learning levels (red apples are below grade level, green apples are on grade level, blue apples are above grade level). The apples can also be used to identify student categories. For example, ESE students can be one color, 504 students can be another color, free-reduced lunch students can be a third color, etc. The basic idea of the colored apples is to make certain students highly visible at a quick glance to teachers.  So, get creative!

To change a student’s apple icon, go to their student profile.  Select the apple color from the apple icon provided.

How do I create a Student Group?

To create a student group:

  • Select the circular icon at the bottom right of your teacher dashboard.
  • Select the plus sign icon on the bottom right of the groups page.
  • Type in the name of your group.
  • Select the students from your class that belong in the group.
  • Select save when you are finished.
How do I edit a Student Group?

To edit an existing group, select the group from the Group tab in the bottom right corner of the teacher dashboard.  Next, select the group you would like to edit.  From this screen, you can add or delete group members, change the group name or delete the group altogether.  Save your changes by clicking save.
